How to email a video file

Technology advancing at an incredible pace can be a truly marvellous thing and easily being able to record your own video files in excellent quality is no exception. However often services that you are so accustomed to using can’t keep up with advances in hardware technology. One particular problem for anyone using video files is the issue of emailing their video file.

Most email servers can’t handle a large email video file which creates a two-fold problem. When sending an email attachment the maximum size depends not only on how large your own mail system will allow you to send but also on the size that the recipients’ mail system will accept.

Here are the limits some of the major systems have:

• Gmail – 25Mb
• Windows Live Hotmail – 10Mb
• Yahoo! Mail – 20Mb

The major email server programs have the following default limits for large file attachments:

• MS Exchange 2007 – 10Mb
• Send Mail – 2 Mb

When you consider that a 25 minute long video at 768 x 576 pixels is typically around 1Gb then you can see what the problem is. The sums just don’t add up. And the problem only gets worse the higher resolution or length your video is. Emails get bounced back as undeliverable or your email program grinds to a halt.

So how do you get round this problem? One approach involves splitting your files so that you can send them through your usual email servers. However, this is rather old school and involves your recipient having to glue the file back together once they have received it.  It just doesn’t make any sense. It’s like buying a priceless ming vase and smashing it up so it fits in a jiffy envelope and then asking the recipient to glue it back together!

A much cleaner and user friendly approach is to use a large file sending service. The basic idea is that you send an email using their web-based services, uploading your large email attachments.  The large attachment is then put on a server and your recipient is sent an email from the service with a link to the attachment, including your original message. The recipient(s) then click on the link to download the file(s). This gets round the limitations of your and your recipients mail server problems.

There are many large file sending services available with the most well known being YouSendIt, MailBigFile, CuteSendIt and Tonsho. They all offer free and paid accounts with the paid accounts allowing you to send more files, giving you  larger storage space and enabling you to brand up the download page if you are a business customer. The major differences between each of these services is the size of file you can send through them. While the typical size of file you can send through one of their free accounts is fairly standard at around 100Mb (so not much use for video files), Tonsho stands out as enabling you to send files up to 5Gb with their paid accounts whereas  all of the others offer  only a 2Gb capability. If you are planning on regularly sending large video files then the larger the service’s capabilities the better.

Of course with all of these services you are not limited to sending large video files, but can send any sort of file you like. If you are unsure of which service is going to suit you the best and whether you do want to put your hand in your pocket, starting out with a free account, even if it is just to do some trial sends of smaller files is probably the best place to start. You can then get a feel for the service and its usability.
